Responsibilities
- Manage and maintain detailed calendars, scheduling meetings, appointments, and travel arrangements efficiently using tools like Microsoft Outlook Calendar and Google Workspace.
- Provide comprehensive executive administrative support, including drafting correspondence, proofreading documents, transcribing notes, and preparing reports with precision.
- Coordinate projects by tracking deadlines, organizing materials, and liaising with internal teams to ensure timely completion.
- Handle office management duties such as filing, data entry, maintaining office supplies, and overseeing front desk operations to ensure a welcoming environment.
- Assist with bookkeeping tasks using QuickBooks or similar software, including invoicing, expense tracking, and basic bookkeeping responsibilities.
- Manage multi-line phone systems with professional phone etiquette while directing calls appropriately and taking detailed messages when necessary.
- Support event planning efforts for meetings, conferences, or company functions by coordinating logistics and preparing materials as needed.
Requirements
- Proven experience in an executive administrative or personal assistant role with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and familiarity with DocuSign for electronic signatures.
- Excellent typing speed combined with transcription skills for accurate note-taking and document preparation.
- Strong office management skills including filing systems, data entry accuracy, and clerical experience in a busy environment.
- Knowledge of bookkeeping software such as QuickBooks along with basic bookkeeping and invoicing experience.
- Exceptional customer service skills with professional phone etiquette across multi-line phone systems.
- Ability to handle confidential information discreetly while demonstrating excellent organizational abilities.
- Experience in event planning, project coordination, calendar management, proofreading, and office experience is highly desirable.
